BOLTON BAND BOOSTERS GENERAL MEETING
TUESDAY, JANUARY 22, 2008
The Bolton Band Boosters met at Faith Cumberland Presbyterian Church. Jeff Morris called the meeting to order at 7:05pm. He thanked everyone for attending tonightÕs meeting.
Debbie Arrison ensured all members present had a copy of the minutes of the last Band General Meeting dated November 13, 2007. There being no corrections the minutes were approved by the membership.
JoAnn Cali presented the Proposed Budget and Treasures Report. She highlighted a few items on the report. Balance in accounts as of 01/22/08: Savings - $21,784.44; Checking - $13,992.41; Cash Box - $500. JoAnn noted that transportation costs include the buses used for football games and competitions. Also, there is almost $10,000 in student accounts. The treasureÕs report was accepted as presented.
Fundraisers were discussed by JoAnn:
Pizza Hut Fundraiser – Debbie Arrison said fundraiser cards could be sold for $10 each & $6 of that amount is kept toward student accounts. It was agreed that this fundraiser would be done.
Yazoo Fundraiser – Debbie indicated this was a successful fall fundraiser. It was agreed that this fundraiser would be done again. Order due date will be Friday, March 7 and delivery date will be Thursday, March 13.
Integrity Payment Systems Fundraiser – Lisa Waterman discussed this as an ongoing fundraiser in which merchants that accept credit cards can request free donations to a specific organization at no cost to the merchant. Band parents were asked to review the school support program flyer Lisa distributed and consider this as a new fundraiser.
Magazine Fundraiser – JoAnn indicated that this would be more appropriate as a fall fundraiser and middle schools are selling magazines, so this fundraiser will not be done this year.
WorldÕs Finest Chocolate Fundraiser – JoAnn said would be a good fundraiser at this time with 50% going toward students accounts. It was agreed this fundraiser would be done. Students and parents will sign a form indicating they will be accepting a box to sell.
Pampered Chef and Southern Home Garden Fundraisers – will not be done this year as there is not enough profit for the students.
Kroger card usage is doing well. JoAnn indicated 3 more checks will be posted toward student accounts prior to the band trip. JoAnn had the cards if anyone wanted to purchase them.
Chick-Fil-A Fundraiser – Reta Kidd said this was going well and they could use more parent volunteers. This money goes toward the general band fund.
Jeff discussed the Band Spring Trip to Washington DC – March 26 – 31:
Spring Trip Itinerary was distributed to all members present.
Jeff discussed the entire itinerary. He noted that each student would be responsible for paying for 5 meals; 9 meals would be included in the trip cost; making a total of 14 meals.
All students must have a current Medical Form on file prior to the trip (forms were available).
A Commitment Form must be submitted by January 31 (forms were available).
Student cost for the trip is $625 at this time (this may be lowered upon further trip review).
Payment Plan: Jan 31 - $125; February 22 - $250; March 19 - $250.
Parent/chaperone cost is $200.
JoAnn indicated that if there is money in the student account then that will be used toward the trip. Deposit is not needed if there is sufficient money in their account.
There will be a selection committee for those parents wanting to attend the trip.
There is a possibility that the Whitehouse may still be added to our itinerary. It will not be known until 2 to 3 weeks before the trip if we can visit the Whitehouse.
David Chipman discussed the following items on the agenda:
He stated parent help is still needed to ensure students continue to do their music homework.
All West Honor Band is January 31 to February 02 (there about 27 students attending).
University of Memphis Honor Band is February 8 and 9.
West TN Concert Band Festival at Ridgeway Middle School is March 13 and 14.
Spring Trip is March 26 to 31. It is an excused absence from school. The trip is for a national venue concert and all students are encouraged to attend. Chaperones are making a commitment to work on the trip. The principal will be traveling with the band.
Solo & Ensemble Festival is at Cordova Middle School on April 12. All State is the following week.
Spring Concert is at New Hope Church at 7 pm on May 8.
Awards Banquet is at New Hope Church at 6:30pm on May 13.
Graduation (Symphonic Band) is at Hope Presbyterian Church at 1pm on May 24.
Mr. Chipman answered some questions.
Jeff opened the floor for questions and there being no further business the meeting was adjourned at 8:05p.m.
